Before Run a Call can turn clocked hours into paychecks, QuickBooks Online Payroll needs to know your people. This is the QuickBooks side of the setup — done once, in about ten minutes for a small crew. (Adding your team in Run a Call is covered in How to add new team members.)

Menu names on the QuickBooks side can differ slightly by plan and change over time. If a step doesn't match what you see, search QuickBooks help for the same task.

Add each employee in QuickBooks

In QuickBooks, go to Payroll → Employees and add each person who clocks time in Run a Call, with their legal name and hire date.

Pay them hourly

Open each employee and set their pay type to Hourly with their rate. Keep the rate the same as in Run a Call so the Payroll tab in Run a Call and your QuickBooks paychecks agree.

Also set their pay schedule to match your pay period in Run a Call (weekly, every two weeks…), and their payment method. QuickBooks will ask for tax details (W-4 and Social Security number) before an employee's first pay run.

Map them in Run a Call

In Run a Call, click Time in the sidebar, open Payroll Sync, expand Employee mapping, and pick the QuickBooks employee for each team member. You need to be the account owner.

That's it — no extra switch in QuickBooks and no separate time-tracking subscription. For hourly employees, the hours Run a Call syncs appear pre-filled the next time you run payroll.

Run a Call sends hours only. Pay rates, overtime rules, taxes and the paychecks themselves all come from QuickBooks Payroll — QuickBooks stays your source of truth for money, Run a Call for time.
