Reports → Equipment Cost Analysis is the fleet view: every equipment unit across every customer, ranked by lifetime billed repair spend. It exists to answer one question a unit-by-unit view can't — which units, out of everything we service, are the repeat offenders?
The headline tiles
| Tile | What it shows |
|---|---|
| Units in view | How many units match your current filters. |
| Lifetime spend | Total billed across those units. |
| Repairs | Distinct billed invoices across the view. |
| Avg per unit | Lifetime spend ÷ units — a quick health check per fleet slice. With inventory tracking on, this becomes a Margin tile with COGS. |
Slicing the fleet
The search box has a scope selector — search by Customer, System, ID/Serial, Model, or Manufacturer. Alongside it:
| Filter | Options |
|---|---|
| Category | HVAC, Refrigeration, Plumbing, Electrical, Other. |
| Status | Active or retired units. |
| Warranty | In warranty, out of warranty, no warranty on record. |
| Age of last service | Never serviced, under 30/90 days, under or over a year. |
| Spend cap | A slider to cut the long tail and focus on the expensive end. |
The table sorts by lifetime spend (highest first) by default; click column headers to re-sort by install date, last service, or repair count.
Plays worth running
- The replacement pipeline — sort by spend, filter to out of warranty. The top of that list is next quarter's install revenue. Open a unit and print its history to make the case.
- A customer QBR — filter to one customer before a renewal or walkthrough and lead with their ten most expensive units.
- Recalls and advisories — search by model or manufacturer to find every affected unit you service in seconds.
- Warranty leakage — filter to in warranty, sort by spend. High billed spend on in-warranty units is worth a second look.
Exporting
Export CSV downloads exactly what's in view — every visible column, plus COGS and margin when inventory tracking is on. Filters apply, so you can export one customer's fleet as easily as the whole book.
With inventory tracking on, a pricebook part's page links here too — "show me every unit that consumed this part" opens the report pre-filtered, with a banner and a Clear filter link.
