Inventory tracking is off out of the box. Turn it on when you're ready to track parts by hand — most shops start once they've built out a pricebook of parts they actually stock.

Owner or admin role required to change this setting.

Turn it on

  1. Settings → Business.
  2. Scroll to the Inventory section.
  3. Flip Inventory tracking → On.
  4. Save.

That's it. Behind the scenes:

  • A default stock location, Main, is created.
  • Every part in your pricebook flagged as a tracked part becomes visible on /inventory.
  • The Inventory item appears in the sidebar for staff+.

What "tracked part" means

A pricebook item is eligible for tracking if:

  • Its type is Part (not Service or Labor).
  • It has Track inventory on in its pricebook item settings.

New pricebook parts start with Track inventory = on by default. Existing parts are pulled in automatically when you enable inventory. If you don't want a specific part tracked, open it in the pricebook and turn its per-item toggle off.

Turn it off

Same page — flip the toggle back. Turning off:

  • Hides the sidebar item.
  • Stops posting new movements from jobs and POs.
  • Preserves past movement history (nothing is deleted).

Turning it back on later resumes tracking. Historical data is intact.

What you'll see next

Once tracking is on, head to Inventory in the sidebar. If your pricebook has tracked parts, they show up immediately with a quantity of zero. Start by:

  1. Receiving any open purchase orders that are physically in your possession — see How purchase orders receive stock.
  2. Counting what's on the truck and on the shelf, then recording a manual adjustment to set the starting quantity — see Making a manual stock adjustment.

Common gotchas

  • No parts show up on the Inventory page? Your pricebook has no items of type Part with tracking on. Add or edit items in Pricebook first — see Creating items and services.
  • Field techs don't see Inventory in the sidebar. That's intentional — the page is staff, admin, and owner only.
  • You just added a new pricebook part and it's not showing up. Make sure the part's type is Part and Track inventory is on. New parts appear immediately once both are set.
