Open any piece of equipment and click the Cost History tab. This is the running answer to "what has this unit cost?" — built automatically from the invoice lines assigned to it.

The Cost History tab on an equipment page

The summary tiles

TileWhat it means
Lifetime billed spendEvery invoice line assigned to this unit, summed. Billed invoices only — drafts and voided invoices never count.
Last servicedDate of the most recent billed repair.
MarginOnly if inventory tracking is on: billed minus parts cost (COGS) — internal only, never printed.

Spend per year

A small bar chart shows spend by year. This is the fastest replace-vs-repair read there is: a unit trending $200 → $600 → $1,400 is telling you something.

Repair history

Below the chart, every billed line assigned to this unit: Date, Invoice (click through to the invoice), Description, and Billed. With inventory tracking on, COGS and Margin columns appear alongside, and part lines link back to the pricebook item that was consumed.

Two sections you might see

  • Job-wide (unassigned) — lines from multi-equipment jobs this unit was on that weren't assigned to any specific unit. Shown for completeness, not summed into the lifetime total.
  • System-level — shared costs billed to the whole system this unit belongs to (e.g. Cooler A). They cover every unit in the group, so they're also not summed into this one unit's lifetime.

If either section keeps growing, that's a nudge that techs are skipping the picker — see Assigning job and invoice items to equipment.

System-level history

Systems have the same rollup at the group level: open a system to see Lifetime spend, Repairs, Last serviced, and spend per year across all of its units, plus the system-level shared charges. See Grouping equipment into systems.

Tip

The whole tab is customer-safe to screen-share except the margin figures, which only show when inventory tracking is on. If you're presenting to a customer, use the printed version instead — it hides internal costs by design. See Printing an equipment history for a customer.
