The Job costing card on a job shows what the job cost you and what it made: labor, material, expenses and the margin. Labor is worked out from each tech's own time on site at their own hourly rate, so a job with a lead and a helper counts both people at what each of them costs you.
Who can see it: owners, admins, and anyone whose role has Jobs set to Everything, including delete.
How labor cost is worked out
For every tech who worked the job, Run a Call takes their on-site hours and multiplies them by their own hourly rate. The job's labor cost is the sum of those amounts.
Each tech's rate comes from, in this order:
- Their pay rate on Team → Time → Payroll, if one is set for the date they worked. A rate change partway through the job is applied from the date it starts.
- Their rate in the Rate column on Settings → Team.
If a tech has neither, the job says so. See Techs without a rate.
Set each tech's hourly rate
- Go to Settings → Team.
- In the Rate column, click Set rate next to anyone without one (or click the amount to change it).
- Type the hourly rate and press Enter.
Do this for everyone who goes on jobs, helpers included. See Managing user profiles.
Read the Job costing card
Open a job and expand Job costing. The bar splits the job into Labor, Material, Expenses and Margin.
Under it, the labor list reads Time on site · each tech at their own rate and shows each tech with their hours. If your role can run payroll, each line also shows that tech's rate and cost. Everyone else sees the names and hours, but not the rates or the cost per person.
Use one rate for the whole crew
Sometimes you want a single rate on a job, for example a flat crew rate on an install.
- On the Job costing card, click Edit Labor.
- Type the rate under Same rate for the whole crew ($/hr).
- Click Save.
The list then reads Time on site · everyone at that rate. To go back to each tech's own rate, open Edit Labor, clear the field, and click Save, or click use each tech's own rate next to the labor figure.
Labor hours in the same window lets you type the hours by hand. When you do, the cost is spread across the crew instead of added up per person, and the card shows manual next to the hours.
Techs without a rate
If someone on the job has no hourly rate, the card shows a note such as No hourly rate set for Chris yet. with an Add it in Team link. Until you add one, their time isn't counted in the labor cost (or, on a job that already had an hourly rate, that rate is used for them). Add the rate, reload the job, and its labor cost includes them.
Jobs finished before this change
Finished jobs that already had a labor rate keep the labor cost they had, so past margins don't move. Finished jobs that showed no labor cost before now show it at each tech's own rate.
Where else this labor cost shows
The Job Profitability report uses the same labor cost for each job's Labor, Profit and Margin. The report reads the cost saved the last time something on the job changed (a status change, a line, an expense, labor edits), so a rate you add later reaches the report once the job is next updated.
