Two small fields on the equipment form do a lot of heavy lifting on dense sites: the Asset ID (your own tag for the unit) and the type (what kind of unit it is — including types you invent).
Asset IDs
The Asset ID is your on-site tag or unit number — EVAP-A-12, RTU-3, whatever's written on the sticker your techs actually read. It's separate from the manufacturer's serial number, and it's what shows first on line-item pickers, reports, and printed histories.
A few practical notes:
- It's optional — residential units usually don't need one.
- It auto-uppercases as you type, so
evap-a-12andEVAP-A-12never become two conventions. - It must be unique within a property, so two units at the same site can't share a tag.
- You can search by it on the Equipment Cost Analysis report.
Match whatever labeling already exists on-site. If the customer's coolers are stenciled "C-1" through "C-70", use those — the printed history you hand them will speak their language.
Equipment types
The Type dropdown ships with the common HVAC types (AC, furnace, heat pump, boiler, mini-split, water heater, thermostat, IAQ) plus refrigeration types (condenser, evaporator, walk-in cooler, walk-in freezer, ice machine, reach-in, compressor, and more), grouped by category.
Adding a custom type
Work on something that isn't in the list — a blast chiller, a glycol loop, a pool heater? At the bottom of the type dropdown, click + Add custom type:

Custom types are saved for your whole company — add "Blast Chiller" once and it appears in every equipment dropdown from then on.
Refrigerant tracking per unit
Each unit has a Track refrigerant on this unit checkbox. It defaults from the type (a walk-in cooler tracks, a furnace doesn't), and you can override it per unit. When it's on, the unit gets a Refrigerant tab for EPA Section 608 logging — which feeds the Refrigerant compliance report.
