Inventory in Run a Call is a lightweight, part-level tracker for HVAC shops. Keep an eye on what's on the truck and in the shop, catch low-stock before you run a call, and understand what your on-hand parts are actually worth.
Inventory is off by default. Turn it on from Settings → Business — see Enabling inventory tracking. When it's on, the Inventory item appears in the sidebar for staff, admin, and owner roles. Field techs don't see it.
What Run a Call tracks per part
For every part in your pricebook marked as tracked, Run a Call keeps:

| Reorder point | Your low-stock threshold. Set on the pricebook item; blank means no threshold. |
| Weighted average cost | Cost basis, rolled forward as new receives come in. Used for inventory value. |
| Total value | Quantity on hand × weighted average cost. |
| Last updated | When stock last moved. |
Only pricebook items of type = part are eligible for tracking. Services and labor items aren't tracked.
Where stock moves come from
Three sources — all recorded in the part's movement history:
- Jobs consume parts. When you add a part as a line item to a job and the job progresses, the qty on hand goes down. See How jobs consume stock.
- Purchase orders receive parts. When you receive a PO, quantities go up and weighted average cost recalculates. See How purchase orders receive stock.
- Manual adjustments. For miscounts, damage, warranty returns, or job cancellations where parts went back to the truck. See Making a manual stock adjustment.
Where inventory lives
- Sidebar → Inventory. Search, filter, and read summary cards for the whole tracked catalog.
- Click any part row to open a details drawer.
- Adjust stock from the drawer.
Locations
One default location, Main, is seeded when you turn tracking on. All movements post there today. Multi-location tracking (truck stock, warehouse zones, transfers) isn't shipped yet.
What's not in Inventory today
- Multi-location stock or truck transfers — single location only.
- Automated reorder alerts or auto-created purchase orders — reorder points are for visibility on the page; they don't send you an email or create a PO.
- Depletion forecast based on scheduled jobs.
- Bulk adjustments across many parts at once — one part at a time.
- Serial-number tracking for high-value equipment.
- Cost adjustments on manual stock changes — adjustments change quantity, never the weighted average cost basis.
