Invoiced Revenue shows what you billed in a period, not only what came in: the invoices you sent, how much of that is paid, what is still waiting to be paid, and what is past due. Switch it to By department to see the same invoices split into Service, Install, Maintenance or whatever departments you track.

Open it from Reports → Money → Invoiced Revenue. Owners and admins can see it, and so can custom roles given access to the Invoiced Revenue report.

Which invoices count

An invoice counts on the day it was first sent, in your company's time zone.

  • Sending it again later doesn't move it. A resend in March leaves a February invoice in February.
  • Invoices never marked as sent — imported history, or membership invoices collected later — count on the day they were created.
  • Drafts and voided invoices are left out.
  • Current totals. Each invoice counts at its total today, so an edit after sending shows up here.

Hover or tap the i on a tile for the same rules in short.

Pick a period and filters

Use the range buttons across the top (Today through Last Year, or Custom with a start and end date). Then narrow it down if you like:

FilterKeeps
Job typeInvoices on jobs of that type.
TechnicianInvoices on jobs assigned to that tech.
Business unitInvoices on jobs whose tech is in that unit. Only shows if you use business units.

The summary

TileWhat it shows
InvoicedSent — the total of the invoices sent in the period and how many there were, with the change against the period before (the same number of days just before it). The bar below splits it into Paid, Awaiting and Overdue.
Where it standsPaid, Awaiting, Overdue and Refunded for those invoices.
By week / By monthOne row per week or month with Sent, Paid, Awaiting, Overdue and the number of Invoices, and a Total row at the bottom.

What the figures mean:

FigureCounts
PaidPayments on these invoices, plus credit memos applied to them, whenever the money came in.
AwaitingWhat's still owed and not yet due (or has no due date).
OverdueWhat's still owed past its due date.
RefundedMoney refunded on these invoices. It's shown on its own; a refund never reopens an invoice.

Weekly or monthly

The Weekly / Monthly switch changes the rows. Weeks run Monday to Sunday. Ranges longer than a quarter open on Monthly; you can switch back. A row marked partial runs past the dates you picked, and only the invoices inside your dates are counted in it.

By department

Switch from Summary to By department to see each week or month split by department, before tax.

  • By department — a chart of the period's pre-tax total, stacked by department.
  • Departments by week (or by month) — a table with a column per department and a total for each.

Click any amount in the table to see the invoice lines behind it: date, invoice (click it to open the invoice), the line, and its amount. Close hides the list.

How a line's department is decided

  1. The line's price book item's QuickBooks class, if it has one.
  2. Otherwise, the QuickBooks class mapped to the job's type. In the list behind an amount, these lines are labelled from job type's class.
  3. Otherwise, the job type itself, labelled from job type.
  4. Anything left over shows as Other.

The item wins over the job: a capacitor whose item is classed Service counts under Service even on an Install job. Invoice discounts are spread across the lines, so the departments add up to the invoices' subtotals.

Tip

Not using QuickBooks classes? The departments simply follow your job types.

Export

Export CSV downloads one row per invoice — Date, Invoice, Customer, Job type, Technician, Due, Subtotal, Total, Paid, Refunded, Balance, Past due — plus one column per department with that invoice's pre-tax amount in it. It's built to sort, filter and pivot in a spreadsheet.

On the dashboard

Two dashboard cards use the same numbers for the dashboard's period. Add them from Customize (see Run a Call dashboard overview):

Good to know

  • Why doesn't this match Cash Collected? Cash Collected counts money on the day it was paid; this report counts invoices on the day they were sent. A job billed in March and paid in April lands in different months. Cash Collected can also be split by department.
  • Why doesn't this match Unpaid Invoices? Unpaid Invoices shows everything owed today, whenever it was sent. Here, Awaiting and Overdue only cover invoices sent in the period.
