Job checklists (also called forms) are templates of steps techs run on a job — a list of checkboxes, photo prompts, text fields, and number entries. Build them once, attach the right one to every job, and you know exactly what got done.

Where checklists live

Pricebook → Job checklists. Same area as your pricebook items and bundle templates — checklists are a sibling tab.

Note

You can rename "Job checklists" to "Forms" in your account if that's the term your team uses. Both mean the same thing.

Create a new checklist template

  1. Pricebook → Job checklists.
  2. Click New checklist (top right).
  3. Fill in:
FieldWhat it does
NameWhat it represents — e.g. "Furnace maintenance", "AC install QA", "Drain cleaning".
DescriptionOptional context for techs.
Job typeService, Maintenance, Installation, Estimate, or Callback. Drives suggestions when the dispatcher attaches a checklist to a job.
  1. Create template.

Add items to the checklist

Once the template is created, click into it and Add item for each step. For each item:

FieldOptions
LabelWhat the tech sees on their phone (e.g. "Photo of nameplate").
DescriptionOptional helper text below the label.
TypeCheckbox · Text · Number · Photo.
RequiredToggle on to block job-close until completed.

Drag items by the handle on the left to reorder. Save when done.

Attach a checklist to a job

From the office:

  1. Jobs → open the job (must be scheduled, not yet underway).
  2. Click the Checklist tab.
  3. Assign checklist → pick the template.

The checklist appears on the tech's mobile app the moment they open the job. They check items as they go.

What techs see on mobile

Item typeTech UI
CheckboxTap to check.
TextInline keyboard field.
NumberNumeric keypad.
PhotoOpens the iPhone/iPad camera; tap to capture, attaches to the checklist item.

If items are marked required, the close-job action is blocked until they're all filled.

Editing a checklist later

  • Edit template updates the template only. Jobs already using it keep the version they were assigned.
  • Delete template removes it from the picker; existing job checklists are unaffected.

Where checklist data ends up

After the tech closes the job:

  • Checklist responses live on the Job → Checklist tab (visible to the office).
  • Photo items attach to the job like any other photo.
  • Required items that block job-close ensure you don't have half-finished jobs sitting in your system.
