The pricebook is wired into every estimate, invoice, and (for some workflows) job line-item builder. Pull from it rather than typing prices by hand — both for consistency and for reporting.

From an estimate

  1. Open the estimate.
  2. Click + Item.
  3. Search by name. Results stream from the pricebook.
  4. Pick the item. Run a Call pre-fills price, tax, category.
  5. Set the quantity.
  6. (Optional) Override the price for this estimate.
  7. Save.

From an invoice

Same flow. Open the invoice → + Item → search → pick.

If the invoice was created from a job that already had line items, those items are already there — you only add new ones.

From a job

When you create a job from an estimate, the estimate's line items copy over to the job. If a tech adds parts in the field on the iPad, those land as new line items on the job.

When the job closes and the invoice draft is generated, all the job's line items roll up to the invoice.

In the field (iPad)

Same search UI on the mobile app:

  1. Open the estimate or invoice.
  2. + Item.
  3. Type to search — Run a Call streams results as you type.
  4. Tap to add.

The mobile pricebook is read-only for techs. They can search and add; they can't change prices or create new items. See Using the pricebook on mobile.

Adding a bundle (Good / Better / Best)

For a kitchen-table pitch:

  1. + Bundle.
  2. Pick the bundle group (e.g. Furnace replacement).
  3. The three tiers appear side by side — Good, Better, Best.
  4. Customer picks; the chosen bundle's items become the estimate's line items.

Quick search tips

Partial namecap finds capacitor, capping piece, etc.
SKU / part numberThe item name field is searched; put SKUs in the name for fast lookup.
Recent itemsRun a Call surfaces the items you've added most often at the top of search.

Off-pricebook items

For one-off charges that don't justify a permanent pricebook entry:

  1. + Item.
  2. Click One-off in the search dropdown.
  3. Type a name, price, quantity.
  4. Save.

This adds the line item without creating a permanent pricebook entry.

Tip

Use sparingly — every line not in the pricebook is one your reporting can't group.
